Managing Meeting Bookings The Easy Way

Running a hotel or hospitality company takes a huge amount of organising. There are a myriad of things to check, clean, sort and arrange to keep guests happy, a careful balance of friendliness at the front of house and efficiency at the back of house. And if you offer meeting or conference rooms as part of your service, you probably find yourself spending an awful lot of time on the phone trying to juggle your customers’ needs.

This is one area of your business where you can make life much easier, not just for you but for your customers, too. Let’s face it, most things can be done online these days, from booking a holiday to buying groceries, from finding a house to finding a partner. So it makes sense that something as relatively straightforward as booking a meeting room can also be done online. By installing meeting room booking software you can cut out the middle man and allow your customers to book online.

Access all areas

These transactions tend to be straightforward, especially if the client has booked with you before. They usually know just what they are looking for, and would prefer to have their own control over the booking rather than leave it in someone else’s hands. Really, all your doing is letting them access your bookings diary in the same way your receptionist would. As long as you still offer a contact number in case they need help using the system, there’s no reason why you can’t simply put the booking control in the client’s hands.

When booking a meeting room, a customer usually has a list of criteria. Top of the list is capacity, and they generally also need to know what equipment is on offer, whether you can cater, what is included in the cost and what they will need to pay extra for. By making all this information available online, your customers can make informed decisions, book and pay for the room and receive a confirmation email.

This type of system usually allows your customers to manage their own accounts, too. This means if they suddenly need extra equipment, for example, they can access their accounts and make any amendments themselves.

A better type of customer service

All of this will free you and your staff up to deal with more pressing issues, all the time still offering a great service to your customers booking meeting rooms. It’s about saving time and creating efficiencies, not about cutting back on quality or refusing to interact with your customers. The chances are they’ll be grateful not to be spending ages on the phone, too.

Not every hospitality company has this type of system in place yet, so the sooner the better from a competitive point of view. Your customers will need to register their account with you, making it much more likely they’ll be returning to make repeat bookings. Also, you won’t need to be paying any extra fees to agents of management companies promising to run the site on your behalf.
